Operations & Marketing Coordinator (Flow & Systems)
(Part-Time | Remote)
12 hours/week (flexible)
We’re looking for the kind of person who *loves* turning chaos into clarity.
The one who color-codes for fun, catches things before they slip, and quietly keeps everything running like a well-oiled machine.
Because in this role…
You’re the one who makes everything run smoothly.
Not only you will be checking tasks off a list, you’re holding the rhythm of the business.
Keeping things organized, moving, and flowing behind the scenes so everything on the front end feels effortless.
What You’ll Be Doing…
Operations & Systems
- Keep our backend beautifully organized (Notion, Dubsado, all the moving parts)
- Manage workflows, contracts, invoices, and forms
- Coordinate schedules, timelines, and deadlines
- Track progress across projects and flag anything that needs attention *before* it becomes a problem
Client Coordination
- Be the steady point of contact for non-strategic client communication
- Support smooth onboarding and offboarding experiences
- Keep deliverables, timelines, and expectations aligned
- Follow up with team members and contractors to keep everything moving forward
Marketing Coordination
- Keep our content calendar clear, current, and on track
- Prep and schedule emails, posts, and campaign assets
- Run weekly marketing check-ins (and actually make them useful)
- Make sure we’re showing up consistently and intentionally
- Track what’s live, what’s next, and what needs attention
Accountability & Execution
- Make sure nothing falls through the cracks
- Keep priorities visible and projects moving
- Send reminders, updates, and nudges when needed
- Help the founder stay focused on big-picture work
Tools We Use
You don’t need to know everything, but you should be quick to learn and comfortable figuring things out.
- Notion (your new best friend)
- Dubsado (workflows, contracts, invoices)
- Google Workspace
- Canva (light support)
- AI tools (ChatGPT, Claude, etc.)
- Social schedulers (Later, Meta Suite, etc.)

*Mac OS experience is a plus, not required.*
This is the role that makes everything *else* work.
You are the wind beneath our wings 🙂
